In discussing the supplier onboarding process in the article, I suggested that you identify a limited number of categories of suppliers, each with their own documentation requirements.  I also directed you to this post to learn about a six-step process for determining your categories.  Well, here is that six-step process:

  1. List all of the documentation you require from new suppliers.
  2. Determine which types of suppliers need to provide each type of documentation.  Note:  You may find that you don’t really need some of the documentation you’ve been requesting!
  3. Determine potential combinations of supplier types.  If two types of suppliers require the exact same documentation, consolidate them into a single type.  For example, if you find that “construction suppliers” and “security services suppliers” require the exact same documentation, consolidate them into a single category like “construction and security services suppliers.”
  4. Create a matrix that lists each type of documentation on one axis and each type of supplier on the other axis.  Check off the documentation required for each type of supplier.
  5. Document procedures for identifying the type of supplier when the need arises.
  6. Create a process for distributing only the necessary documentation to the right supplier.
